AI for owner run small businesses

What AI can do for your business.

Most businesses that have grown for ten years run on tools that were never built to talk to each other, and the owner is what holds them together. The plan starts there, on your own records: steady what is underneath, then put AI to work. The plan is free.

Built by people who do this every week: one senior operator, thirty years of enterprise technology experience, working with AI systems built for this kind of modernization work. A deliberate operating model, with the reach of a team.

Where you are Where this goes

Two ways in

Everything runs fine, or something does not. Either way, start here.

Everything runs fine. I want AI working for me.

Your week is full and the business runs, mostly because you keep it running. You keep reading about what AI can do and nobody has shown you what it would do in your business. We will. The plan checks what is underneath first, then names what is worth doing now, what it would produce, and what is not worth it yet.

See how the plan is made

Something is not working. I want to know what.

The system will not do what you need, the data came across wrong, or the admin still happens by hand. The plan starts with a diagnosis of what is actually going on, then says what to fix, in what order, and what it costs.

Two ways in. One plan, starting in the same place.

Stabilize before you automate

Your business is held together by patches, and you are what holds them together.

Every tool you own was a reasonable decision on the day you bought it: the booking system, the card reader, the accounting package, the spreadsheet that was only meant to be temporary. None of them were built to talk to each other.

Newer software has doors that other software can use, and older software mostly does not. So over the years, you became the connection.

Four tools that were never built to talk to each other, joined through the owner Four tools sit in a row: booking, payments, the books and a spreadsheet. Only the first two are joined directly, through a door the newer software provides. Between the others the connection is missing. Instead every tool is joined to the owner beneath them, who copies, remembers and fixes what passes between them. booking payments the books the spreadsheet a door no door no door you copying, remembering, fixing

You copy between them

The same customer and the same payment, typed into two or three places, by you or by whoever you trained to do it.

You remember for them

Who is due back, and which estimate never got an answer. It lives in your head because no single system holds all of it.

You fix what falls between them

The double booking. The payment that never reached the books, found months later when the report will not match the bank, and fixed by hand.

Put AI on top of that and you automate the mess. The patches run faster and break the same way, and you are still the one holding them. That is why the plan reads your own records first: it shows where the handoffs break, which numbers disagree, and what only works because you remember it. What is underneath gets steadied first. AI comes after.

If you run jobs, figures that never agree between Jobber, Housecall Pro and QuickBooks are usually the first sign.

Sold on top of the patches, and usually not worth it yet

  • A chatbot on your site that answers everything. Most of what a small business needs answered is three questions, and a clean booking page handles two of them.
  • An AI that writes your clinical or job notes unsupervised. Worth testing, not worth trusting, and your license or your liability sits behind every word.
  • Replacing a system that works to get an AI feature. The feature is rarely worth the migration, and we will say so in the plan.

How it works

Three parts. The first one is free.

Free
01
The plan is written from the business's own data Existing records are read first, then a written plan comes out of them: what is worth doing, what it would produce, and every cost. your own records the written plan

Plan

One conversation about how your business runs day to day, a full review of your own data, and a written AI plan. It starts with what is holding the business together today, then names what is worth doing, what it would produce, every cost including ours, and what is not worth doing yet.

02
The system set up around the way the work already runs Separate pieces are brought together into one working arrangement and each one is checked before it is left running. separate pieces one system running

Stabilize

If you decide to go ahead: the migration or the cleanup the plan called for, the setup around how you work, and your tools connected where they can be, so the handoffs stop running through you. Every record is checked against the source before the old system is retired.

03
It keeps running, and it is kept current A week of the routine work going out on its own: reminders through the week, intake forms before each new visit, a note at the end of the week. Above it, a new AI capability arrives from outside and is fitted into what is already running. new AI capability fitted in reminders intake forms weekly note one week, on its own

Automate

Once the foundation holds, and only what the plan chose. It runs while you are doing the work, and we keep it current as what AI can do changes, so you do not have to follow any of that yourself.

What it does

What AI is doing in businesses like yours right now.

Once the foundation holds, this is what goes on top. It is running every week in solo practices, in five practitioner clinics, and in crew based businesses with a dozen people on the payroll. Each comes with its limit, because the limit is where most of the bad advice hides. What it should do in yours is what the plan works out.

Enquiries arriving after closing, each one answered A timeline of one night. Enquiries arrive at intervals, including past the point where the business closes, and an answer leaves for each one. answered straight away enquiries arrive out of hours

Answers inquiries after hours

Someone who writes at 9pm gets a real answer, in your voice, with the next open slot. The limit: it books and answers; it does not diagnose, quote, or promise on your behalf.

A customer who stopped coming, reached and returned Regular visits, then a long silence, then a single approach that brings the customer back to the schedule. regular visits months of silence one note booked again

Brings quiet customers back

It notices who has gone quiet, when that usually happens in your business, and sends the check in you would send if you had the hour. The limit: you approve the message once; it does not invent offers.

An empty slot filled from the waiting list A week of booked and empty slots. One empty slot is filled from the people already waiting. waiting list cancellation, filled

Fills the gaps in the calendar

A cancellation goes to the waitlist in minutes instead of sitting empty. The limit: it needs a waitlist to exist, which is often the first thing we set up.

Intake completed before the visit A blank form goes out, comes back with every field filled, and lands in the record, all of it before the appointment begins. form sent filled in first on the chart visit

Does the intake before the visit

Forms go out ahead of the visit, come back complete, and land in the record. The limit: the record has to be clean first, which is the diagnosis talking.

Approved once, then sent every time One approved wording sits at the left. From it, follow up messages go out after each visit without further handling, and nothing outside the approved wording is sent. approved once sent every time

Writes the follow up

Post visit notes, estimate follow ups, review requests, all drafted and sent without you touching them. The limit: it sends what you approved; it does not freelance.

A short weekly note on how the week went Seven days across the top, and beneath them three lines: what came in, who did not rebook, and where the week leaked. seven days enquiries in did not rebook where it leaked

Tells you how the business is doing

A short weekly note: what came in, who did not rebook, where the week leaked. The limit: it reports; the decision is still yours.

Who it is for

Built for the businesses where nobody's whole job is making the systems work.

One practitioner or eight. One truck or six. What these businesses share is that nobody on the payroll is a systems person, so the software was set up once and has not been looked at since. That pattern turns up in almost any business that has grown for ten years. These are the industries we know best, and each has its own page with the specifics for that work.

Wellness and health practices

Acupuncturists, massage therapists, chiropractors, naturopaths, and physical therapists. After hours booking, recall, intake, and the practice management systems underneath them.

Field services and the trades

Landscapers, tree services, contractors, electricians, plumbers, painters, and HVAC operators. Estimate follow up, crew scheduling, review requests, and the job systems underneath them.

The platforms

We work across the platforms you already use.

We are independent of every vendor and hold no referral arrangements with any platform. The recommendation follows what your business needs, and often that is the system you already have, set up properly.

Practices

Jane, SimplePractice, Acuity, and the tools that sit alongside them. Scheduling, records, intake, reminders.

Field services and the trades

Jobber and Housecall Pro. What matters here is the estimate that gets followed up, and the client who hears something between visits.

Rentals and property management

Guesty and Hostaway for rentals. Buildium and AppFolio for property management. Messaging, turnovers, maintenance, renewals.

Your free AI plan

You get the full plan before you spend a dollar.

A real, written plan for your business, addressed to you, before you spend a dollar or sign anything. Yours to keep either way.

Most of the industry charges for this. The AI readiness audit is sold as a paid engagement, usually priced in the thousands, and what it produces is a document. This is that document, and it costs nothing. A business should be able to find out what is true about its own numbers without buying something first.

What is holding it together today

Read from your own records, in plain numbers: the handoffs, the double entry, and the figures that disagree between systems.

The system recommended, and why

Two practitioners came in because something was not working, and both started with the foundation. Here is what changed once someone else carried the plan.

Acupuncture practice

Tao Performance Acupuncture

A four-room practice is moving onto a system where the note written during a visit carries the treatment code onto the claim, written once, and coverage is confirmed before the patient sits down. Seven years of appointment history was read before any platform was discussed.

Chiropractic practice

Healing Waves Wellness

The whole forward book moved from Mindbody to Acuity Scheduling in August, around a full patient schedule, and no patient noticed. Reminders go out on their own, a new enquiry gets a text with real openings in about twenty minutes, and patients hear from the practitioner in short videos between visits.

How we move a business onto a new system

Who you are working with

One person, thirty years, and a conviction about who should have access to this.

I spent three decades building technology systems for large organizations: the kind with budgets, departments, and a person whose entire job was making the software serve the business. Small businesses and independent practices never had any of that.

The gap has been there the whole time. What changed is that closing it no longer takes a team. When something looks wrong, you reach the person who built it.

Common questions

What owners ask first

What do I actually get for free?

A written AI plan for your business. It names the AI work worth doing in your business, item by item, along with anything we would leave alone for now. It states the system recommended and why, the full plan and timeline, every cost involved including ours, and what the change is likely to produce. It comes from one conversation and a full review of your own business data. There is no charge for it.

My systems are fine. Is this still for me?

Yes, and it is the most common reason owners come now. A business that runs well usually runs well because someone is holding it together by hand, and that someone is often you. The plan shows what is being carried that way before anything goes on top, then what is worth doing this year, what it would produce, and what you can safely ignore.

We have staff. Are we too big for this?

No, and the pain usually grows with headcount. A solo practitioner loses time to admin. A practice with five practitioners and a front desk, or a field business running several crews, loses it in the handoffs, where the same information gets entered twice and work falls between two jobs. What matters is whether anyone on the payroll is a systems person. If nobody's whole job is making the software serve the business, this is for you.

What can AI do for a business my size?

Answer inquiries after hours, bring quiet customers back, fill cancellations from a waitlist, do intake before the visit, send follow up, and tell you how the week went. That is what is running in businesses like yours today, once the foundation holds. What it should do in yours is what the plan works out.

Will you tell me if it is not worth it?

Yes, in writing. Some of what is being sold as AI for small business is not worth the money, and some of it is not worth the risk. The plan says which is which for your business. If there is nothing worth doing yet, the plan says that, and you have still learned something true about your own numbers.

Do I have to hire you after I get the plan?

No. The plan is yours to keep and use however you like, with us or without us. Most owners choose to have us carry it out, since we already know the business by that point, but nothing about the plan requires it.

Who does the work?

One senior operator with thirty years of enterprise technology experience, working with AI systems built for this kind of modernization work. The AI carries the volume: reading your data, checking a migration record by record, running the platform comparisons. The judgment, the conversations, and the accountability stay with one person you can call.

Does my software vendor not already handle this?

Most platforms offer a free setup call and help importing records. That call teaches you the software. It does not review how your business runs, decide which features or automations solve your specific problems, or check that every migrated record came across correctly. That is the work we do.

Which platforms do you work with?

We are independent of every vendor. Jane, SimplePractice, and Acuity on the practice side, Jobber and Housecall Pro in the trades, Guesty and Hostaway for rentals, Buildium and AppFolio for property management, and the tools alongside them are all in scope. The recommendation follows what your business needs. We hold no referral arrangements with any platform.

What does the rest of it cost?

The price for setup, migration, and any ongoing automation is calculated from your own numbers and stated plainly inside your free AI plan. You will know the cost before you decide anything.

Will I lose any records?

Data validation is a required step in every engagement. We check the migrated records against the source export before the old system is retired, and both systems stay available until the new one is confirmed correct.

Do you only work with businesses in Santa Cruz?

No. Sannidhi is based in Santa Cruz, California, and serves Santa Cruz, Scotts Valley, Aptos, Capitola and Watsonville in person. Beyond the county, Sannidhi works with small businesses across the country. The free AI plan works the same way wherever the business is: one conversation, a full review of the business's own data, and a written plan.
