The practice looks after the week. She looks after the person on the table.
This is how Healing Waves works now. Patients get reminded of the appointment they booked, across eighteen appointment types, by text and by email. The front desk gets a daily accounting the booking platform cannot produce on its own. A new patient lands on a site that reads like the practice. The whole forward book sits in one system that connects to what gets built on top of it, which the old one never did.
Everything still to come points at the same place: the practitioner with the patient, and the rest of it handled.

What is running now
The reminders send themselves, and the day adds up on its own
Reminders and confirmations were switched on in stages, on her schedule rather than all at once. New patient scheduling stays manual and under her control, because she asked for it that way, and that is the kind of thing worth asking about rather than assuming.
The report that reaches the front desk after the last visit of the day did not exist anywhere, and could not. The booking platform has two reporting screens, both group by appointment type, and neither carries a client name, so nobody could answer who was charged what. The desk had been checking by hand against the paper travel cards. That check is now the second opinion rather than the only one: the report sorts each visit into collected, check the card, or needs a look, flags any amount that does not match the list price of its type, and covers the packages, the gift certificates and the cancellations alongside the visits.
It is a small thing to describe and it is twenty minutes of somebody's evening, every evening.
How the practice got here
The whole book moved around a full schedule
Before any of it, she was paying every month for scheduling software that barely talked to anything else in the practice, with no real website of her own to send a new patient to. Moving years of records onto a new platform alone felt like more risk than she wanted to carry, so the old system stayed and the bill kept coming.
Every future appointment was carried across and checked against the old system's own records. They were rebalanced across the four treatment tables so a day reads correctly at a glance instead of stacking on one, and every one of them was retyped to show the wording a patient recognises rather than the label the export produced. Packages that had stopped being sellable were made sellable again. Both systems ran together until the new one was proven right, and nothing was cancelled on the old one until it was certain nothing had been lost.
None of that repair reached a single patient, because notifications stayed switched off throughout it. The website went first, deliberately, so something was working for her while the rest happened underneath. It runs on her own domain, and every address the old site ever published still lands on the right page, so the years of search ranking and the bookmarks patients had saved came across with it.
What her own record said to do first
The biggest gain was in the people already walking through the door
The obvious move was more advertising. Her own record pointed somewhere else.
A diary caps how many new people a week can hold, so buying more of them runs into a ceiling that no amount of advertising moves. The gain that ceiling does not touch is the one between a first visit and a second: people who came once, felt something, and did not come back, usually because nobody had the twenty spare minutes to explain what a course of care actually involves.
That is why the patient videos moved from near the bottom of the plan to the top of it. They are the piece that changes a year without asking the appointment book for anything.
What the process felt like
She stayed in charge of how it looked. Everything else happened quietly
She raised one point early and called it important: the warm color running through the site needed to carry all the way through the page, not fade out partway down. That became a standing rule for every page built after. That is the kind of decision that was hers to make.
The records export, the calendar rebuild, and the platform comparison happened in the background. She saw progress as it was ready to show her, not the parts that were never hers to solve in the first place.
Amazing work, very detailed and thorough, with immediate responsiveness, especially after go live to work out the kinks.

Where this is going
The practice looks after the week. She looks after the person on the table.
A patient gets reminded of the appointment they booked, by text and by email.
Patients are supported with short videos from the practitioner that arrive along the way, each matched to where that patient is in their care, so someone at their second visit gets what someone at their second visit is wondering about.
The advertising into the intake is an automated flow. An enquiry gets answered while the person is still deciding, and the advertising is judged on the patients staying with the practice rather than clicks.
And Melanie is on the table with the person in front of her. That is the only part of this that was ever the point, and everything above exists to give her more of it.
