An AI receptionist for a small business

An AI receptionist answers the calls you cannot get to. It books the ones that are bookings, takes a message for the rest, and puts anything urgent through to you. For a small service business, published prices run from about $30 to $350 a month, set mostly by minutes. How it is set up has a large effect on whether callers book or hang up.

What it does on a call

  • Answers in plain speech, at any hour, in your business's name.
  • Books, moves or cancels an appointment in your calendar, if it is connected to it.
  • Answers the questions you give it answers to: hours, prices, areas you serve, what to bring.
  • Takes a message and sends it to you as a text or email.
  • Sends an urgent call to your phone, by the rules you write.
  • Texts back a caller who hung up, on the services that offer it.

Cheaper plans often leave out the parts that matter. On Rosie, booking into a calendar and putting a call through to a person start on the $149 plan; the $49 plan texts the caller a booking link instead.

Why the first minutes count

A study published in the Harvard Business Review in 2011 found that companies which tried to contact a web enquiry within an hour were nearly seven times as likely to qualify it as those which waited even one hour longer. That study measured web enquiries. Phone calls were outside it. A missed call is a person who has already reached out and is waiting to hear back.

Where it goes wrong

Speech it cannot follow. In August 2026, Healthwatch Rotherham, a patient watchdog in England, reported that the automated phone system used by local GP surgeries struggled with broad Yorkshire accents and speech impediments, and some patients gave up on booking by phone.

Callers who will not talk to a machine. A survey of 6,000 US consumers, released in September 2026 by a firm that sells human receptionists, found one in three would hang up if a call was answered by AI. Treat the number with that in mind. The fix is a greeting that offers a person and means it.

Emergencies. A burst pipe or a patient in pain needs a person. Write the list of words that send a call straight to your phone before it goes live, and test it.

The rules in California

California requires every party's consent to record a call (Penal Code 632 and 632.7), so the greeting says the call is recorded. A clinic or doctor's office that uses generative AI to give patients clinical information must say so and tell them how to reach a person, unless a licensed provider reviews it first (AB 3030). Scheduling and billing are outside that rule. If your practice is covered by HIPAA, for example because you bill insurance electronically, you also need a business associate agreement with the service, because recordings and notes about patients are protected health information. We are not lawyers, and your own counsel has the last word.

How we set it up

We write what it says from your own answers to the calls you get most, in your words. We choose a service that connects to the calendar you already use, such as Jane, Acuity, Jobber or Housecall Pro, so a booking lands where your staff look. We write the rules that send urgent calls to you, and we turn on the text back for missed calls. Then every call log is read in the week it happens, the wording is changed where callers got stuck, and the Monday report shows what came in and what was booked.

The answering service is billed to you at its own published price, like your other software. Choosing it, setting it up and reading it every week is part of the $500 a month.

Common questions

How much does an AI receptionist cost for a small business?

Published prices run from about $30 to about $350 a month. Most are set by minutes, from 60 to 2,000, and some by the number of callers. RingCentral charges $49 a month for 100 minutes and $0.50 a minute after that. Check what the cheaper plans leave out, because booking into a calendar and putting calls through to a person are often on the higher plans.

Can an AI receptionist book into Jane, Acuity or Jobber?

It can if the service connects to that calendar, and the connection is the first thing to check before you choose one. Jobber sells its own receptionist that books into Jobber. For other calendars, the service needs a direct connection or a link through an automation tool.

Is it legal to record calls in California?

Yes, with the consent of everyone on the call. California Penal Code sections 632 and 632.7 require it, so the greeting tells the caller the call is recorded. Health practices have further rules on patient information. Check with your own counsel.
